Duties of Officers and Board of Directors

 

DUTIES OF THE BOARD OF DIRECTORS

The CGSL Board of Directors duties shall be inclusive of, but not limited to:

A. The general administration of the association's affairs.
B.  Setting player fees and confirming eligibility.
C.  Establishing supplemental playing rules in addition to ASA governed rules.
D. Establishing guidelines for league play.
E.  Making final decisions regarding disciplinary actions of CGSL members, coaches, and players.
F.  Completing CORI background checks and appointment of coaches.
G.  Settling any grievances submitted to CGSL.

 


Duties of the Executive Board

PRESIDENT
The President will supervise all affairs of the organization, preside over all meetings of the Board, sign all official documents of the organization, break ties in voting matters, and serve as extra official member of all committees.  The President shall also obtain all permits for fields, trophies and medals for the league.

VICE PRESIDENT
The Vice President will perform the duties of the President in the event of the inability of the President to act.  The Vice President shall act as liaison between the division managers and the Board and will be responsible for making the teams with each division manager and collecting CORI data for each coach and assistant coach in the league.  The Vice President shall perform other duties as assigned by the President or the full Board.

CLERK
The Clerk shall record all minutes of meetings and maintain a file fo all correspondence, forms, insurance information, the Annual Report to the state of Massachusetts in November and other documents pertinent to the activities of CGSL.  The Clerk shall perform other such duties, as the Board of Directors shall prescribe.

TREASURER
The Treasurer shall have charge and customer of and be responsible for all funds of the CGSL organization, receive and give receipts for moneys due and payable to the organization, deposit all moneys in the name of the organization, and pay all expenses upon the approval of the Board.  The Treasurer shall be responsible for providing a treasurer's report at each meeting and for presenting a written financial report at the November board meeting.  The Treasurer shall assist in the preparation of Federal and State tax forms each year.

Duties of Additional Officers of the Board of Directors

SNACK SHACK DIRECTOR
The Snack Shack Director will be responsible for the effective operation, stocking, scheduling of volunteers, and maintaining of the snack shack.  The snack shack director will submit a financial report at the first meeting after the end of the season.  The snack shack manager will be in charge of selecting a committee to assist in these duties.

SCHEDULING DIRECTOR
The Schedule Director will be responsible for scheduling all games for the season and the playoffs for all divisions.  Duties will include arranging umpires for all league and playoff games with the representatives for the Junior Umpires the ASA Umpires; notifying umpires of cancellations and rescheduling, submit information to Treasurer for payment of umpires.

REGISTRAR
The Registrar will be responsible for maintaining the official CGSL member register with the current phone number and mailing address of each member; organizing all CGSL membership registrations; and submitting notification to the schools, newspaper, cable TV, and website of these registration dates.  Responsible for collecting registration due from each member.

EQUIPMENT DIRECTOR
The Equipment Director will be responsible for purchasing, issuing, collecting, and storing all CGSL equipment as well as verifying and maintaining the safety of all equipment.  Order and distribute uniforms to teams and order and distribute any other apparel for the players each season.

FIELDS MAINTENANCE DIRECTOR
The Fields Maintenance Director will prepare a field budget for approval by the Board of Directors; arrange for the field to be prepared for games; and will be in charge of the Field maintenance committee to decide on field improvement projects.

RAFFLE DIRECTOR
The Raffle Director will be responsible for selecting the type of raffle; running the raffle; and submitting a written report to the Board at the first meeting after the end of the season.

TOURNAMENT DIRECTOR
The Tournament Director will organize CGSL Tournaments run each season by posting them on the ASA website and send participants the details of the tournament.  Ensure volunteers are gathered for the events.  Acts as single point of contact for tournament attendees.

SUMMER LEAGUE DIRECTOR
The Summer League Director will organize the Summer League within the Middle Essex Softball League; will be in charge of day-to-day operations for the Summer program.  Point of contact for the Middle Essex League.

PLAYER DEVELOPMENT DIRECTOR
The Player Development Director will organize all League Clinics in the Winter and the Spring.  Is available to assist and support coaches with instruction and teaching techniques.  Responsible for keeping rules up to date and propose any rules changes that may be needed for each Division.

Additional Functions

ASSISTANT SNACK SHACK DIRECTOR
Assist the Snack Shack Director with snack shack duties as needed.

ASSISTANT SCHEDULING DIRECTOR
Assist the Scheduling Director with scheduling duties as needed.

DIVISION MANAGERS
Division Managers will be the interface for teams in their division and the board.  Duties will include assisting in the making up of the teams in their division; maintaining the game scores for their division on the CGSL website; handling minor division complaints and questions; organizing the playoffs or other year-end activities; and distributing trophies and medals.

COACHES
Coaches are selected at the beginning of each season for a one-year position.  Selection as a coach the following year will be based on need, coaches evaluations, and division amanger input.

JUNIOR UMPIRE MANAGER
Organize the Junior Umpires for the season.  Arrange training for Junior Umpires at the beginning of the season.  Maintain the schedule for the Junior Umpires and ensure all games are covered.

SPECIAL COMMITTEES
The Board of Directors may appoint a chairperson for needed committees.  A chairperson may or may not be a Board member.  Members of special committees do not need to be a member of the Board.  Each committee chairperson shall report activities to the Board as requested.  The chairperson may designate the members to assist with the committee.  One person may be chair of more than one committee as necessary.  Committees may be added as needed.
